How to Create a Professional Business Email With Your Domain

An address like info@yourbrand.com looks more professional and builds trust compared with a free webmail address.

What you need

A domain and a hosting plan that includes email. Your domain must point to your hosting. See this guide.

Create the email account

  1. Log in to cPanel.
  2. Open Email Accounts and click Create.
  3. Choose your domain and the name (info, sales, support).
  4. Set a strong password and mailbox size.

Access your email

  • Webmail: open yourdomain.com/webmail.
  • Phone or desktop app: use the "Connect devices" settings in cPanel to get the IMAP and SMTP details.

Best practices

  • Use separate addresses for different roles.
  • Keep mailbox usage in check; delete or archive old mail.
  • Set up SPF and DKIM so your messages are less likely to land in spam. cPanel shows the status in Email Deliverability.

Troubleshooting

If email stopped after changing DNS, check that your MX records are correct. See DNS propagation.

Why a domain email matters

Customers are more likely to trust and respond to messages from name@yourbusiness.com than from a free address. It also keeps your brand visible with every message, lets you share addresses with a team, and lets you keep control: if an employee leaves, you simply reassign the mailbox.

Useful address ideas

  • info@ for general enquiries
  • sales@ for orders and quotations
  • support@ for customer help
  • billing@ for invoices
  • yourname@ for personal professional use

Email settings you may need

SettingTypical value
UsernameFull email address
Incoming (IMAP)mail.yourdomain.com, secure port
Outgoing (SMTP)mail.yourdomain.com, secure port

cPanel shows exact settings for each account under "Connect Devices", including automatic setup profiles.

Improve deliverability

  1. Use SPF and DKIM records (cPanel can add them for you).
  2. Do not send bulk marketing from a regular mailbox.
  3. Avoid spammy subjects and all-capital text.
  4. Keep your mailbox below its quota.
  5. Use a consistent "from" name.

When you outgrow hosting email

Hosting email is excellent for small teams. If you need shared calendars, large attachments or advanced collaboration, you can later move to a dedicated email service and just update your MX records. See DNS propagation to plan the switch.
